Public exhibitions and consultations were held at Glebelands School in February 2006 and a further follow up exhibition was held in June 2006 at the Cranleigh Arts Centre.

To support these consultation periods, Dunsfold Park Ltd undertook a number of promotional activities. Details of this are noted as below.

 

February 2006 - Glebelands School

In February 2006, Dunsfold Park Limited held a public exhibition to present their thoughts on the future of Dunsfold Aerodrome. The exhibition attracted over 500 visitors.

During the exhibition, visitors were able to comment and review ideas on alternative futures for the Aerodrome, and view three masterplan options for the design and layout of a possible new village settlement.

In support of the consultation process, activities undertaken for the February exercise included:

- Holding of a Public Exhibition Members Preview Event on 15 February

 - Letters were sent out to around 300 political stakeholders to invite them to a presentation by the Dunsfold Park team, a special preview of the exhibition and a Q&A session with the professional team. Invitees included Parish, Borough and County Councillors plus other national and regional political VIPs.

- Holding of a Public Exhibition held at Glebelands School on 16, 17, 18 February 2006 

- Event included an exhibition, a short film on "The Future of Dunsfold Aerodrome" and the professional consultants were on hand to answer any questions from the public. The exhibition times covered weekdays, evenings and weekends to ensure maximum attendance. (The exhibition moved to Dunsfold Park's estate office after 18 February where it stayed open to visitors for a further 6 weeks)

- Letters were sent to a specially compiled database of around 350 general stakeholders including businesses, relevant organisations, local groups etc in the surrounding areas inviting them to attend the February exhibition

- Presentation by Dunsfold Park Limited at a Glebelands School assembly to promote the exhibition. Two weeks later (post exhibition) around 400 copies of the Consultation Handout were distributed to local schoolchildren (for completion by them or their parents/guardians) in a series of youth workshops which were run at Glebelands School with around 400 pupils in Years 10 and 11 (an age group of 14-16 year olds)

- Mail drop in January 2006, of 1,500 community newsletters to the surrounding residential areas to promote the exhibition

- Advertising of the February exhibition in the Surrey Advertiser's "What's On" in all local editions

- Press releases promoting the exhibition were issued to all local press and media

- Exhibition promotional posters put up in community venues *1

- Front page coverage promoting the exhibition in the Surrey Advertiser and the West Sussex County Times (Cranleigh edition) appeared in the week of the exhibition as well as before and after

- Distribution of multiple copies of the Consultation Handout and Questionnaire to community locations *2

- Online access to the 14 exhibition boards, the Consultation handout and the questionnaire at www.dunsfoldpark.com  in a special section dedicated to consultation

- Consultation Handout and Questionnaire drop to all 90 businesses on site at Dunsfold Park and an outline of exhibition content at a tenants meeting

The questionnaires included open questions to gain qualitative responses and closed questions to gain quantitative statistics. All responses were considered and the overall findings, (compiled by M&N, Community Relations Consultants) were read by the full professional team responsible for developing the masterplan for the Aerodrome. The masterplan has now been developed taking on board the feedback received. A press release was issued on the results of the February consultation.

 

June 2006 - Cranleigh Arts Centre

The next stage of consultation was to present the preferred masterplan and provide further details on specific elements of the masterplan to gather the community's feedback.

A Members Preview evening was held on 20 June followed by a Public Exhibition Open Day at the Cranleigh Arts Centre on Saturday 24 June. During the exhibition, members of the public were able to view the preferred masterplan and speak to members of the professional team. The exhibition remained at the Arts Centre until Sunday 2 July and was on display until the beginning of September.

In support of the consultation process, activities undertaken for the June exercise included:

- 5000 copies of a new Consultation Handout and Comments Sheet were printed and circulated (as per the February consultation exercise)

- Dunsfold Park Ltd placed an advertisement in the Surrey Advertiser

- Community venue posters were placed in the same venues as the February consultation

- Letters were issued again to the general stakeholders list

- The local press was fully briefed (with extensive coverage across a number of local press titles)

- The website was updated to include all the new exhibition materials including an online comments sheet
